We’re Hiring: Practice Support & Operations Coordinator

Based at our Wigan town-centre clinic

Home Visit Pet Care Wigan is growing, and we are looking for an organised, compassionate and genuinely enthusiastic person to join our team in a newly created role.

This is not a traditional veterinary receptionist position, although answering calls, helping clients and booking appointments will form an important part of the job.

We need someone who can become the operational heart of our clinic: keeping things organised, supporting our mobile veterinary teams, managing stock and helping everything run smoothly behind the scenes.

A veterinary practice built differently

Home Visit Pet Care is not a corporate veterinary chain.

We are an independent, nurse-owned practice built around a simple idea: veterinary care should be more accessible, more personal and less stressful for pets and their owners.

Our team provides veterinary care in people’s homes, with a particular focus on helping:

  • elderly and vulnerable pet owners;
  • people with disabilities or mobility difficulties;
  • owners who struggle to transport their pets;
  • elderly, anxious or reactive animals;
  • families facing difficult end-of-life decisions.

For many of our clients, a home visit is not simply more convenient. It may be the only practical way for their pet to receive veterinary care.

Just 18 months ago, Home Visit Pet Care Wigan consisted of one mobile veterinary nurse. Today, we have a growing team of vets, nurses and support staff, a busy mobile practice and a new clinic in the heart of Wigan town centre.

We believe we are also one of only a very small number of wholly nurse-owned veterinary practices in the UK.

We are quite literally built differently.

About the role

The role will be based primarily at our clinic at:

1 Bishopgate
Wigan
WN1 1NL

We are tucked inside the church grounds, right in the centre of Wigan.

The successful person will help support both the clinic and our teams working out on the road.

Typical responsibilities will include:

  • answering telephone calls, emails and client messages;
  • helping clients choose and book the right appointment;
  • welcoming clients attending the clinic;
  • keeping appointment diaries accurate and organised;
  • ordering, receiving and organising veterinary stock;
  • monitoring stock levels and expiry dates;
  • preparing equipment, paperwork and supplies for mobile teams;
  • helping vets and nurses coordinate their working days;
  • supporting prescription, medication and collection processes;
  • maintaining organised and professional clinic areas;
  • carrying out general administrative work;
  • helping improve systems and processes as the business grows;
  • identifying outstanding tasks and taking responsibility for completing them;
  • supporting new projects across the practice.

There may also be opportunities to assist with the training and operational support we provide to new Home Visit Pet Care franchise branches as they open around the UK.

Any clinical duties would only be undertaken by someone appropriately qualified, trained and competent to carry them out.

Who are we looking for?

We are deliberately keeping an open mind about the background of the person we recruit.

You might be:

  • an experienced veterinary receptionist or support assistant;
  • someone with strong administration or customer-service experience;
  • an RVN looking for a varied role with a different pace and working environment;
  • someone with limited veterinary experience but exceptional enthusiasm, organisation and willingness to learn.

Being a Registered Veterinary Nurse would allow the role to include some additional responsibilities, but an RVN qualification is not essential.

The right attitude matters enormously to us.

You should be:

  • warm, patient and confident when speaking with clients;
  • particularly sensitive when supporting elderly or vulnerable people;
  • organised and comfortable managing several priorities;
  • reliable and able to work without constant supervision;
  • confident using computers, email and online systems;
  • willing to learn new software and processes;
  • attentive to detail;
  • comfortable taking responsibility and using your initiative;
  • calm when plans change or the day becomes busy;
  • genuinely interested in helping a small independent business grow.

Because we are a small team, every person has a noticeable effect on the working environment. We are looking for someone positive, practical and supportive who wants to become an important part of what we are building.

The rate of pay is negotiable and will depend on experience, qualifications and the responsibilities the successful person can take on.

The exact working pattern will be discussed with suitable applicants. This will be a regular, predominantly clinic-based position.
